What breaks in agency operations

Per-seat CRMs were not built for agencies

Four problems make most CRMs an economic non-starter for multi-client agencies. CRM Solid is designed around each one.

One CRM seat per client = bankruptcy

Per-seat pricing scales linearly with your client count. Run 30 brands, pay 30x. Most CRMs make multi-client agencies an economic non-starter.

Reports look like CRM screenshots

Clients want a polished PDF with their logo on it. Generic CRMs export raw CSVs or screenshots with the vendor logo plastered across the header.

Inbox-flipping eats your day

Login to Client A's Instagram. Logout. Login to Client B's WhatsApp. Logout. Login to Client C's Telegram. Half your week is auth flows.

Onboarding a new client takes a week

New client = new pipeline, new tags, new templates, new credentials, new automations, new dashboards. By the time you go live, the retainer is half spent.

Six capabilities every agency owner asks for

Built by people who have run agencies. We know where the time and margin actually go.

Per-client workspaces

Each client is a fully isolated workspace: its own inbox, pipeline, tags, contacts, sequences, dashboards. Swap workspaces in one click.

White-label PDF reports

Client logo, brand colors, custom footer. Weekly digest emails and embedded dashboards carry your client's brand, not ours.

Multi-brand unified inbox

See every Instagram DM, WhatsApp message, Telegram chat across every client in one view. Filter by client, agent, status, or channel.

Role-based access control

Agency admin, agency team, client admin, client viewer. Clients see only their own workspace; team members see all. Audit logs included.

Agency billing rollup

Pass-through or markup billing. One consolidated invoice with all clients as line items, or each client paying directly. Your call.

Per-workspace credential vault

Telegram session strings, WhatsApp tokens, Instagram credentials, all encrypted at rest with per-client keys. Revoke one client, the rest untouched.

What we hear from agency owners

Every agency owner we onboard tells us the same story: they tried HubSpot, they tried Salesforce, they tried building on Airtable. Each time, the per-seat pricing scaled linearly with client count, the reports looked nothing like a client-grade deliverable, and onboarding a new client took a week of admin work that they could never bill for.

CRM Solid is designed around the agency economics: flat-rate pricing regardless of workspace count, white-label reports that look like your client's own product, and a clone-from-template flow that takes new-client onboarding from a week to an afternoon.

Channels that matter for agencies

Every client has a different channel mix. CRM Solid lets you run them all from one agency dashboard:

  • Instagram & Facebook: for DTC clients, the primary channel. Stories, DMs, comment-to-DM, Marketplace. Per-client account isolation.
  • Telegram: for crypto, web3, and EE/CIS clients. Native MTProto, multi-account per workspace.
  • X (Twitter): for SaaS and B2B clients. DM automation, multi-account rotation, rate-limit safety.
  • WhatsApp Business: for retail, hospitality, and international clients. Approved Meta templates per client.
  • Email: universal. Relayed via the client's own SMTP or your agency's SendGrid.
  • Live chat widget: for clients with a storefront. Drop-in script, fully white-labelable.

Compliance & data residency

Agencies live in a slightly unusual legal position: under GDPR you are typically a data processor (your client is the controller). That means you need a data-processor agreement from the CRM, and you need to be able to flow comparable terms down to your clients.

  • Sub-processor DPA: CRM Solid signs a sub-processor DPA with your agency. We have a template for the agency-to-client DPA available on request.
  • Per-workspace data residency: annual plans support pinning each client's workspace to EU (Frankfurt) data residency independently. EU client in EU, US client in US.
  • Client-initiated erasure: your client can request a full export and erasure of their workspace. CRM Solid handles the export and the 30-day delete window. Other client workspaces are unaffected.
  • Audit logs: per-workspace audit logs for every contact view, message sent, and sequence triggered. Required for clients in regulated industries (finance, health, legal).

Sample sequences & templates

The Agencies workspace ships with four template-pack sequences that can be cloned to any new client workspace in one click:

  • New-Client Onboarding (your agency to client): kickoff email, credentials request, briefing call booking, weekly cadence setup. Helps you onboard new retainers without ever writing the same email twice.
  • Generic Inbound Lead: drop into any client workspace as a starting point. Welcome, qualifier, route to client team. Edit per-client tone.
  • Retainer Renewal (your agency to client): fires 45 days before renewal. Usage summary, results recap, renewal CTA. Reduces churn by giving clients a clear "here is what we did" before they look at the invoice.
  • Lapsed-Client Re-Engagement: for clients who paused or did not renew. Three-step sequence: value-add, case study, low-commitment offer.

Reporting & KPIs

The Agencies dashboard has two layers. The agency-wide rollup shows your retainer book at a glance. The per-client view shows the client-grade deliverable.

  • Agency rollup: active client count, MRR, average retainer value, churn-risk flags, hours-of-service per client (if you track time).
  • Per-client dashboard: leads captured, conversations handled, sequences sent, DMs replied, AOV/CLTV for ecom clients, viewings booked for real estate clients. White-labelled, embeddable, exportable.
  • Team workload: by agent, across all clients. Spot burnout before it becomes attrition.
  • Weekly client digest: auto-sent PDF on Monday morning with the week's metrics. Half your "status report" emails write themselves.

Comparison reflects publicly listed feature sets and pricing as of 2026 Q1.

“We grew from 8 clients to 31 clients in 14 months. The flat-rate pricing meant our gross margin actually expanded with scale. Try doing that on HubSpot. Every new client used to be a $200/month fixed cost just to give them a seat.”

Sub-processor DPA, per-workspace residency, audit-ready

Agencies act as data processors for their clients. CRM Solid signs a sub-processor DPA with your agency, supports per-workspace EU data residency, ships per-workspace audit logs, and provides a flow-down template for the agency-to-client DPA your clients will ask for.

Agencies pack FAQ

Common questions from growth and marketing agencies.

Every client is a separate workspace under your agency account. Each has its own inbox, pipeline, contacts, tags, sequences, and dashboards, fully isolated. You and your team can swap between workspaces in one click. Clients never see each other, and you never accidentally send a message to the wrong client.
Yes. PDF reports, weekly digests, and the embeddable dashboard can carry your client's logo, brand colors, and footer text instead of the CRM Solid logo. The setup is per-workspace, so each client's reports look like their own product. Custom domain (clientname.reports.example.com) is available on the agency plan.
Two options. Pass-through: each client pays CRM Solid directly with their own card. Markup: you pay one consolidated invoice with all clients as line items, and you bill the clients on your own paper at whatever margin you want. Most agencies use markup. It keeps the client relationship clean and adds a 20-40% margin on infrastructure.
Yes. Role-based access: agency-admin (full), agency-team (read/write minus billing), client-admin (read/write on their workspace only), client-viewer (read-only). Clients can log in to see their own pipeline and inbox but can never edit another client's workspace.
Yes. Agencies typically act as data processors for their clients (who are the controllers). CRM Solid signs a sub-processor DPA with your agency, and you can flow the same terms down to your clients. We have a template for the agency-to-client DPA available on request; see /dpa for the underlying agreement.
Every connected account (Telegram, X, Instagram, WhatsApp Business, etc.) is stored encrypted at rest with per-client AES-256 keys. Session strings are isolated by workspace. If your client revokes access (or fires you), one click revokes every credential for that workspace without affecting your other clients.
