Agency pain

The three things that quietly kill agency margin

We talked to 80+ agency owners. The same three problems came up every single conversation.

Twelve tools, twelve invoices, zero context

Each client has their own Buffer, their own Hootsuite, their own ManyChat, their own Asana. You log in to seven dashboards before lunch. The total cost per client per month is now $400 in software alone.

A client cancels and takes the data with them

When a client offboards, you spend two days exporting CSVs and untangling logins. The next agency they hire inherits everything you built. Your IP walks out the door.

Junior staff seeing everything they should not

Your new freelancer has full access to every client account because access controls in 90% of CRMs are "all or nothing." One typo and they message Client A from Client B's Telegram account.

The fix

One platform, every client, zero data leakage

01

Spin up a client workspace

Click "New client," set the workspace name, upload their logo, pick their brand color. Done in 45 seconds. Workspace ships with a default agency-grade pipeline you can customize.

02

Connect their accounts

Plug in the client's Telegram, X, WhatsApp, Instagram, and email accounts. Everything stays sandboxed inside that workspace. Your other clients never see this data.

03

Assign your team

Invite the account lead as Editor, the junior copywriter as Limited Editor, the client themselves as Viewer. Role-based access enforces who can do what.

Agency superpowers, built in

Six features that turn agency chaos into clean, profitable operations.

Per-client workspaces

Each client gets a fully isolated workspace, with separate pipelines, contacts, templates, AI bots, and reports. Switch between clients with one click; nothing leaks between accounts.

White-label reports

Generate weekly PDF reports stamped with the client's logo and your agency's colors. Schedule auto-delivery every Monday 8am. Clients think you built the dashboard from scratch.

Granular role-based access

Agency admin, account lead, copywriter, junior staff, client viewer: six built-in roles or define your own. Lock down specific workspaces, channels, or features per person.

Billing rollup & per-client P&L

See exactly what each client costs you in software, AI usage, and message volume. Mark up by % or flat fee, then export an invoice line-item every month.

Agency-wide dashboard

One pane of glass: all clients, all metrics, ranked. Spot at-risk accounts before the client does. Identify cross-sell opportunities. Forecast retention by retainer health.

Audit logs for everything

Every login, every message sent, every contact created, every export, all timestamped and queryable. SOC2-friendly. Painless when a client asks "who sent that DM?"

A typical Monday standup

9:15am. The agency owner, Priya, opens the agency-wide dashboard before standup. The screen shows 22 client workspaces ranked by retainer health, a composite metric blending message volume, response time, AI bot accuracy, and pipeline progression.

Two cards are highlighted in amber: Client #14 and Client #19. For Client #14, reply rates dropped 30% week-over-week. Looks like the IG account had a content issue. For Client #19, the AI bot's qualification rate fell below 70%. The persona may need re-tuning after the client tweaked their offer last week.

Priya tags both account leads with action items. By the time standup ends, both issues are diagnosed, both fixes are in flight, and both clients will get a proactive heads-up email before they even notice. That is how retention happens.

What changes after two weeks

  • Software stack consolidates. Most agencies cancel 3-5 SaaS subscriptions per client. Buffer, Hootsuite, ManyChat, plus their CRM. That is $200-$400/mo back in their pocket, per client.
  • New-hire ramp time drops. Junior staff are productive on day one because every client uses the same interface. No more "you need to learn ten different dashboards."
  • QBR decks get faster. White-label PDFs auto- generate every Monday. No more designer hours rebuilding the same five charts every month.
  • Upsell conversations get easier. When you can show the client exactly what their CRM Solid spend is generating (replies, meetings, revenue), retainer-expansion conversations write themselves.

Templates & playbooks included

The Agencies playbook ships with templates and configurations specifically built for client work:

  • Client onboarding workspace: pre-built pipeline for moving prospects from "Pitch sent" to "Retainer signed"
  • Weekly client update template: auto-fills with actual workspace data, ready to send via email
  • Monthly QBR report template: 12-page white-label PDF with every metric a client wants
  • Cancellation save sequence: auto-triggered when a client requests offboarding
  • Cross-sell trigger sequence: fires when a client's pipeline value exceeds a threshold you set
  • Three pre-built agency dashboards: Retention Health, Capacity Utilization, and Cost-per-Client P&L

Integrations agencies actually use

  • LemonSqueezy / WeePay: bill clients directly from CRM Solid; subscription, one-time, and metered billing supported
  • Gmail / Outlook: each workspace can have its own connected email account for client comms
  • Calendly: each account lead's Calendly, automatically scoped to their assigned workspaces
  • GitHub: for technical agencies, link clients' repos so you can show shipped features in monthly reports
  • Outbound webhooks: push client data into your own BI tool, Notion, or Slack channels for live alerting

Security & compliance for agency work

Agency data is sensitive. Your clients are trusting you with their customer relationships. CRM Solid handles this with:

  • Workspace-level data isolation: Client A cannot see Client B's data, ever, regardless of how permissions are configured
  • SOC2-friendly audit logs: every action by every user, queryable for 90 days (longer on Scale)
  • GDPR-compliant data exports: when a client offboards, you can give them a full ZIP of their data in 5 minutes
  • Encrypted at rest, encrypted in transit: AES- 256 + TLS 1.3 across all data paths
  • SSO / SAML available on Scale: if your agency uses Okta or Azure AD, your team logs in with corporate credentials
“We migrated 28 client accounts off Hootsuite and HubSpot in a weekend. The white-label reports alone have saved us $4,800 a month in designer time. Our QBR slides now write themselves.”

Agency-owner FAQ

The questions every agency owner asks before switching tools.

For client-facing reports, dashboards, and emails, yes. You can upload your logo, set your brand colors, customize the email sender, and choose your own domain for the live-chat widget and report links. For the app itself (login screen, settings UI), we do not offer full white-label currently. Clients sign in to "Powered by CRM Solid" but with your branding throughout the day-to-day surfaces.
You pay one flat-rate subscription to CRM Solid. Inside the platform, you can tag every message, AI call, and storage cost to a specific client workspace. The agency dashboard exports a CSV per month showing cost-per-client, perfect for invoicing your clients with a markup.
You can transfer the entire workspace to the client's own CRM Solid account in one click, or export it as a portable archive (contacts, pipeline, templates, message history). You decide whether the data goes with the client or stays with you. That is in your retainer contract, not our policy.
Our largest agency customer runs 73 client workspaces inside one parent account. Practically, anything from 5 to 100 clients is comfortable on Scale. Beyond 100, we offer Agency Plus pricing with custom SLAs. Talk to sales.
Yes. Each client can have their own login (or several, for their team) scoped only to their workspace. Use the "Client Viewer" role to give them read-only dashboard access, or "Client Editor" if they want to write replies themselves.
Yes. Agencies bringing 5+ paying client workspaces get 20% lifetime revenue share. Agencies with 20+ workspaces get a dedicated partner manager, co-marketing, and quarterly business reviews. Email [email protected].
